Miami email accounts

Former student Miami Google Workspace (Gmail, Google Drive, Photos, etc.) accounts are being removed on April 8, 2024. If you have one of these accounts, you will need to move all documents and emails over to a personal Google Workspace account. Below is information on steps you should take to stay in contact with the Miami University Alumni Association and ensure you don't lose your data when these accounts are removed.

If you are a current undergraduate, graduate student, employee, a retiree, or an emeriti, this change does not affect you.

Need to move your documents to another Google Workspace account?

By moving files out of your former student account, you will ensure that none of your documents are lost when these accounts are removed on April 8, 2024.

Here’s a quick guide for downloading your data from a Miami Google Workspace account (Gmail, Drive, Photos) to your personal Google account:

  • Go to takeout.google.com/transfer.
  • Enter your personal email address and select Send code. This will send a code to your personal email.
  • Retrieve the confirmation code from your personal email and enter it in the provided space back at takeout.google.com. If you don’t receive the email, check your spam folder. It may take a few minutes to receive the code.
  • Select Verify.
  • Go down this page carefully. Make sure the slider is in the right position for the data you would like to transfer (both Drive and Gmail are recommended, and if you have Photos saved in your Miami account, those too).
  • Select Start Transfer. This will move the data from your Miami Gmail account to your personal account.

If you get an error message that reads "Transfer Your Content is only available to authorized G Suite for Education Accounts. Please contact your administrator, or sign in with another Google Account" you need to check which Google account you are logged in to. Click the profile icon in the upper right-hand corner of the screen and make sure you are logged into your uniqueID@miamioh.edu account.

This is a university business decision based on changes Google made to the original agreement that would put undue financial burden on alumni, students, faculty, and staff. Unfortunately, Google is not offering an opt in/out solution for alumni who might want to keep the account. This is not just a Miami University issue but one that colleges and universities across the country are currently dealing with as a result of the change.

No. Once these services have been terminated on April 8, 2024, the account will become inactive. You can, however, give us your other email address via this form and you will receive MUAA emails at that address.

Unfortunately, Google is not offering an opt in/out solution for alumni who might want to keep the account. This is not just a Miami University issue but one that colleges and universities across the country are currently dealing with as a result of the change.
In order to do that, you would have to manually download files from your Miami Google account and upload it to another provider. There is no automatic way to do it to something other than another Google account. Instructions are online to transfer your account to another Gmail account before the April 2024 deadline. If you have an email address that we could be using, please fill out this form so we can update your records.
Our recent grads will keep Google email accounts for 180 days post departure from the university. While they will have access to their email address, Google Drive and Photos during that 180 days, they will not be able to create new documents, or edit existing documents.
